WHAT YOU GET FOR YOUR MONEY

 

We start with a complimentary consultation via phone or email to clarify your hopes and aspirations for your trip, your personal interests, budget, and travel style. We then create a proposal to suit your needs and email you a projected scope of work with an estimate of our travel consulting service fee.   Be assured that there will be no surprises.  If our actual time begins to exceed our estimate, you will be notified before we continue; however, every effort is made to stay within the projected time frame.

 

Upon acceptance of the estimate, we ask you to sign and return the two documents on our legal page.  We will then prepare an outline of the itinerary, attractions and events we believe will be of interest and submit them to you.  After reviewing this information in order to finalize the itinerary, we require a 50% deposit of our estimated consulting fee which is payable via credit card through PayPal.  At this point we will complete the details of your trip and submit them to you for acceptance.  Upon receipt of the final payment which is now due, we will provide all the additional information connected with your trip:

 

  • Names, addresses and contact information for lodging in the area you will visit.
  • Names, addresses and contact information for all attractions.
  • Names, addresses and contact information for all activities/guides.
  • Maps and driving directions for all points on the itinerary.
  • List of suggested restaurants on your itinerary.
  • Calendar of events for the time of your stay.
  • Our emergency contact information during your stay, 24/7.

 

The itinerary and our consulting services are now complete.  As a flexible traveler, you may wish to make your own reservations as you go.  Or, if you wish us to act as your concierge, we will be happy to make your reservations for you at our regular rate.  We can also arrange and manage a host of traditional concierge services for you; such as rental car arrangements, train or airplane reservations, travel transfers, etc. 

 

Some people just do not have time to do as much research as they would like before they travel.  Therefore, we do extensive investigating – checking out hotels, inns, and bed & breakfasts, trying restaurants and cafés, hiking, visiting historical sites and museums – going the extra mile to find the ideal Hudson Valley experience for you.  This is part of our expertise, not part of our charge.  Research is ongoing and becomes a component of our database.  We will not add it to our consulting fee.  All of our recommendations on where to eat and stay reflect our own candid assessments and in some cases the advice of local chefs or other experts we know and trust. We do not accept commissions from any of our recommendations.


Our advising and itinerary planning services are billed at $60 per hour, to exactly how much time we spend with a particular client.

 

All escorted group tours and step-on guide services for bus tours led by Hudson Valley Traveler are priced individually. Details about deposits, refunds and balances are included in the Tour Agreement for those specific tours.

 

Our theme-based packages are each priced individually based on the length of stay and theme.   Our concierge and planning service fees are included in the package price.
